Can I use a Distribution Group instead of a Shared Mailbox?

A Distribution Group may be used to distribute inbound fax notifications, but it should not be used as the authorized sending address for outbound UniFax Email-to-Fax.

For outbound faxing from a shared department fax number, use a Microsoft 365 Shared Mailbox.

Can each user send from their own email address using the same fax number?

No. UniFax associates each fax number with a specific authorized email address. Fax number and email assignments are configured on a 1:1 basis.

For multiple users to send from the same fax number, they should send through the Shared Mailbox associated with that fax number.

What Microsoft 365 permissions are required?

Users should have the following permissions on the Shared Mailbox:

  • Full Access

  • Send As

Why should Send on Behalf of not be used?

Send on Behalf of changes how the sender appears in the email header. Since UniFax validates the authorized sending email address, this may cause the Email-to-Fax message to be rejected.

Can inbound faxes still go to multiple people?

Yes. Inbound faxes can be delivered to the Shared Mailbox and then forwarded or copied to a Distribution Group or individual users.
